Monmouth County, NJ
Background:
Monmouth County has a mixed fleet of utility vehicles, cars, vans and other vehicles that provide services to the community. Looking to get a better overview over their entire fleet, save money, and get more out their budget, officials began looking for a system that would fit their demands as a government entity.
Challenge:
Provide a customizable fleet maintenance management software system that meets these needs:
- Ability to use barcodes on vehicles to track critical information related to that vehicle such as location, preventative maintenance schedules, fuel consumption, and more
- Integrate the software with fuel system software they are currently using
- Have a mobile software option for using handheld devices out in the field
- Customizable to meet the specific needs of their organization
Solution:
Collective Data was able to provide a powerful solution for Monmouth County, demonstrating their ability to customize and help government fleets meet their unique needs.
The collectiveFleet Solutions package (10+ users), integration for writing fuel data from collectiveFleet to their fueling system, the Motor Pool Management Module for check-in/check-out functionality on their vehicles, Mobile Applications with Handheld PC/Barcode Scanners, as well as other customizations to software fields and views, became the solution that Monmouth County was looking for to maximize savings and effectively track their equipment.
A large metropolitan fire department in North Carolina:
Challenge:
Provide a fleet maintenance management program for basic scheduling, tracking and reporting functions of a typical application with additional capabilities that include:
- Terms and nomenclature specific to a fire department
- Supply department specific reports
- Provide software for handheld devices for inventory and work order management
- Fuel management application
- Uniform/gear issue management
Solution:
Collective Data worked with the client to produce a software solution that provided fire department specific language along with department specific reports built in to our collectiveFleet software. The supplied solution also seamlessly incorporated the handheld hardware and software requirements and a fuel management application that eliminated the costly demands of entering fuel data by hand. Collective Data developed a uniform and clothing inventory module to effectively manage the issue and return of fire fighter gear and uniforms.
The solution Collective Data supplied surpassed the expectations of the client, particularly with the built in ability of the software to grow with the needs of the department.

- Program must be able to restrict access to specific sections of the program to protect privacy and data integrity
- Require the ability to track inventory from procurement to assignment to a work order
